Once you are satisfied with Essential Access and testing the platform and games, you can move to the next step, which is commercially licensing the games for your VR location. Before we add this, lets understand how SynthesisVR Pre-Paid balance work.

The Pre-Paid Balance/Credit System Explained

There Are 2 forms of pre-paid balance which can be found in your Billing Page:

  • Software
  • Game Licenses

Software+

Software refers to the funds available in your account specifically designated for utilization towards SynthesisVR features and additional add-ons. Every new Essential Access account comes with $250.00 worth of free credits. This can be utilized to purchase any add-on except Content Add-On: Steam.

SynthesisVR will initially charge your existing Free Balance for your add-ons before attempting to charge your other types of balance available. If there are not enough pre-paid balance to cover your subscription cost, SynthesisVR will charge your credit card on file.

Game Licenses+

Game License refers to the funds available in your account specifically designated for utilization towards game content. A minimum of $100 is required to commence your commercial licensing process. This initial balance serves as an entry point to access the SynthesisVR content store, providing you with access to all games available under Essential Access.

Throughout the month, your game usage is monitored. On the first day of each month, your total charge is calculated, taking into account the previous month’s game and content usage. This sum is then deducted from your Game Licenses balance. If your usage exceeds the balance, the remaining amount will be charged to your credit card.

How to Start Licensing

  1. Add Your Credit Card

Adding Your Credit Card

Go to Administration – Billing – Click on Update Credit-Card On File Button under Actions

Add your details and click Save Your CC. After saving, clicking the Update button again won’t display any details and might include random numbers. This measure is purely for security reasons; rest assured; your credit card information has been successfully added.

Add Balance

Once your credit card information is added, click the $ Add Balance button. As mentioned above there are two types of balance. Make sure to add the amount to the right balance. In order to licensing games, please add $100 under Game Licenses Balance as shown below and click Confirm your payment.

Once the payment has gone through you will see your new balance under PRE-PAID BALANCE. You can now go to Administration – Games, Categories, Licenses and start licensing games.

What will happens if my game licensing balance is empty?

RustDesk: Introduction

RustDesk is a free to use platform that allows you to connect to other computers remotely. You can see what is happening and control your computers from one, central computer.

RustDesk is the preferred method that we in Synthesis VR use in order to troubleshoot issues, or when helping a new customer with installing setting up Synthesis VR and games for the first time.

Installing RustDesk

Download RustDesk Here

This will automatically download Rustdesk.

Navigate to your downloaded file, and open it.

Open RustDesk

After opening this file, you are greeted with this window.

Click the Install Button

Pin the application to your taskbar for future use.

Configure Settings

Click the hamburger menu in the top-right corner to access the settings page.

Navigate to the Network Settings

Enter Provided Information

The information in the network settings page should already be there.

However, if the above information is not there, you must enter it. You can copy and paste the information below.

  • They wouldn’t be able to delete reservations that are already “Used”

How to create Tags

  1. To create Reservation Tags go to Administration – Advanced Settings – Extras (tab) – Tags
  2. Click the Three Dot button on the Top Right and click Add New Tag as shown below

3. Select your location, Give a Title that is relevant and select a color and Save

Adding A Tag to an existing Reservation

  1. Open Any existing reservation and click Assign Labels and select the Desired Tag.
  2. Once the Tag is selected it will be assigned to the respective reservation. Multiple tags can be selected for the same reservation.
  3. You can also Filter existing reservations by Tags, An easy way to find what you are looking for.

The purpose of this Rule is to allow your arcade to act more like a traditional arcade where someone pays to play a game until a certain criteria is reached. For example, they play until they “die”, or play just a single round. Once the criteria is reached (set within the Game Categories section explained here), the session ends. 

  1. From the Administration menu go to “Business Setup” (tab), then “Operation Settings”:

Then click on the “Add/Edit Operation Settings” button under your experiences:

  1. From the next opened screen, click on the “Add Per-Game Based Rule” button:
  1. Enter in the name of your Per Game Session in the “Title” section. Best practice would be to name the rule with the title of the game or games you will be assigning to the rule. You may find after creating several of these that you’ll want to go back in and adjust the title as needed.
  1. To add an Experience, click on the “Add Experience, Game Category and Billing +” button and a new line item will be added below where you can add in the appropriate experience. From the drop down menus you’ll need to choose the Experience Type, the Game Category, and the Cost of the game. You can add additional line items by clicking the “Add Experience, Game Category and Billing +” button. Note that by adding a new line item, you will be creating a seperate Rule set that you can further refine and edit, but it will initially share the remaining parts of this rule set.


To remove a line item in this section, click on the red “x” to the right of it.

  1. Add in tax (if applicable in your state/country) in the “Sales Tax in %” section or leave it blank if you don’t charge tax, and select the open time and close time for this rule by clicking in the “Open Time” and “Close Time” sections and choosing the appropriate time from the drop down menu (24 hour format). The open and close times can be any time within your open hours (be sure that the close time is after the open time), so different rule groups could have different open times, but this particular rule group will share those same hours. For example, you can have certain rules only apply between the hours of 12pm – 6pm. You can also refine them by day below that by checking or unchecking certain days of the week in the “Days” section. For example, you can have certain rules only apply on Fridays and Saturdays by unchecking Monday-Thursday. If you check the “Days” checkbox it will select all days of the week.
  1. Choose the effective dates of this rule using the “First Date” and “Active Until” sections. If it’s something you will offer any time your arcade is open, choose a starting date of today or earlier and an end date that is far into the future. You can also restrict this rule to only be applicable for a certain date range. This will be extremely useful if you have a promotion that can only be booked for, as an example, the month of August, or perhaps if you want to have it only available during tournaments or similar.
  1. Once you’ve entered in all the necessary (and optional) sections, you will see that the “Save” button is now solid and clickable. Click that to save, otherwise your edits will be lost. If you want to exit and start over click the tiny “x” button in the top right of the window or click the “Hide” button at the bottom of the window.

Step 1: Ensure Installation is Complete

Note: Pre-Subscription Optional.

If Synthesis VR is not installed, visit the guide below and complete that first.

Step 2: Enter Your Credit Card Information

  • Visit the online Synthesis VR Dashboard
  • From your Synthesis VR Dashboard, head over to Administration >> Arcade Setup >> SynthesisVR Subscriptions.


  • Once in the Subscriptions section, click on the Update Credit Card On File button
  • Once the popup comes up, enter in your complete credit card information
  • Click on Save Your CC button when done.



Step 3: Subscribe Your Station(s)

  • Once your credit card is saved, select the appropriate plan in the Essential section
  • Click the button of the plan and it should turn blue and a total will show on the far right column.
  • Checkmark the stations you want to subscribe to Synthesis VR.


  • Scroll all the way down and click on the Subscribe Now button when ready.


  • Your credit card will be charged the appropriate amount noted at the bottom of the page
  • Your subscription will renew on this date that you subscribed to on monthly basis.
  • Congratulations! You have successfully subscribed to Synthesis VR! Welcome to our platform!
